DESCRIPTION


Currently we are looking for an Administrative Assistant for our Minsk office to make the team even stronger.

Responsibilities

  • Plan meetings and take detailed minutes;
  • Plan events and assist in schedule management;
  • Travel planning and arrangement, book travel arrangements;
  • Assist in expense booking and reconciliation;
  • Assist in coordination activities for large distributed teams;
  • Trainings tracking and coordination assistance;
  • KB management/access rights maintenance:
    • Documents and presentation preparation;
    • Prepare and store meeting notes;
    • Create, publish, structure and update KB with information related;
    • Collect Case Studies and Whitepapers.
  • Administrative:
    • Monitor weekly reports, communication with staff on project reports issues;
    • Vacation balances verification, time reporting control;
    • Keep up-to-date list of account business opportunities;
    • Preparation of regularly scheduled reports for management team;
    • Distribution Lists management;
    • Track progress of administrative project action items.

Requirements

  • Pro-active, self-starter, diligent, communicative, creative, quick, accurate;
  • Attention to detail and problem solving skills;
  • Excellent time management skills and the ability to prioritize work;
  • Good organizational skills with the ability to multi-task;
  • Strong communication skills, both verbal and written;
  • Ability to work in rapidly changing circumstances;
  • Strong ability and desire to learn and integrate into the new environment;
  • Experience in preparing status dashboards, presentation and business analytics;
  • Power user experience in Microsoft Excel, Word, PowerPoint, Outlook;
  • Familiarity with Software Engineering is a plus;
  • Experience working as an Administrative assistant is a plus;
  • Higher education, preferred IT/technical fields;
  • English of Upper-Intermediate and above level.
